Working on a work item

The work item screen has everything needed to check and finish one piece of work.

The header​

The workflow name and the work item's title, then a line with where it stands, who it is from, the amount, when it was received and its reference. Under that, how it was sorted: "Sorted here by a person" or "Sorted here by description (92% sure)".

The main action is on the right, with others under More actions. See approving and other actions.

Three tabs​

The screen opens on the Document tab when the work item is waiting for approval or has an email waiting to be approved, and on the Workflow tab otherwise.

The Workflow tab​

Each step shows its number, name and where it stands:

Select a step to see what it found. For example, a Check step lists its checks with ticks and crosses, a Look up in MCS step with Let the AI choose shows the records the AI considered and how sure it was, and a Create in MCS step shows Sent, Accepted by MCS, Created with the MCS number. Steps that asked MCS say what they asked and what came back. If MCS returned an error, it is explained in plain words with what to do.

A choice shows as a question, such as "Does the PO value match the invoice? Yes, so:", with the steps it ran underneath. The side it did not take is not shown.

People who can change workflows also see Details on steps that asked MCS or the AI. It shows exactly what was sent and received. Copy for support copies it all for an MCS support request.

The Document tab​

The documents are on the left, one tab per file. PDFs and images are shown in place; other files can be downloaded.

On the right, Read from the documents lists each value with where it came from: Person, MCS, Document, Email, Call, Custom step or Default.

To correct a value, click it, change it and press Enter (Escape cancels). The value is then marked as from a person, and the checks run again straight away. You can correct values while the work item is waiting for a person.

The Email tab​

The emails on the work item, newest first, including the ones Rent Stream AI sent (marked Sent). Emails are always shown as plain text, never with the sender's formatting, so nothing in an email can run or track you.

If an email could not be verified as coming from the sender's own email system, it says so.

When new emails have joined the work item since anyone last looked, a message under the header says so, and they are marked New.

If someone else changes it​

If someone else acts on the work item while you have it open, the screen shows "Someone else changed this. Showing the latest."
