Approving and other actions

Each work item has one main action, matching what it is waiting for. The others are under More actions.

The main action​

ApprovalApprove and send to MCS. Shows your approval limit. If the amount is over it, you see "Over your limit. Assign it to someone who can approve it" instead

Approving​

Before approving, check the values on the Document tab against the documents, and look at what will be created in MCS on the Create in MCS step.

Approving asks you to confirm, then waits 10 seconds so you can Undo.

Running a step again​

While a work item is waiting, each step has Run again from this step, for the step it stopped at or any earlier one. Use it after fixing something, such as adding a missing contact address in MCS. The steps after it run again in order. Nothing already sent or created in MCS is done twice.

When MCS's answer is unclear​

Sometimes it is not clear whether MCS received a record. Rent Stream AI never sends it twice by itself. Check in MCS, then on the Create in MCS step either:

  • enter the number under It is in MCS, under number and select It is in MCS; the workflow carries on; or
  • tick I have checked MCS and it is not there and select Send it again.

If MCS refused the record, fix what MCS said, then use Send it again.

Mark as dealt with​

Closes the work item as done when it was finished outside the workflow. Choose how:

  • Done in MCS by hand
  • It was already in MCS (give its number in MCS)
  • Nothing needed doing
  • Another way (say in the note)

The header then shows who dealt with it and how.

Start a new work item from this email​

On the Email tab, if a later email joined the work item but is really a separate request, select Start a new work item from this email. It moves, with its attachments, to a new work item on the same workflow.

Start again​

Mainly for testing a workflow. It clears everything the workflow did and runs it again from the first step on the live version, keeping the emails and attachments. If anything was already sent to MCS or emailed, it tells you how many, because they will be sent again. It is also available on closed work items.
