Roles and permissions

What each person can do depends on their role. What they can see depends on their depots.

Starting roles

Each company starts with four roles from MCS. Admins can change what they allow, or add their own in Settings, Roles.

RoleCan
ViewerSee work items in their depots and mailboxes
ReviewerAct on work items and approve into MCS up to their limit. Also act on many at once, and change contacts
Workflow managerAs Reviewer, and build and publish workflows, manage fields and MCS lookups, and manage mailboxes
AdminEverything, including people, roles, the MCS connection and company settings

By default, only Admins can accept changed bank details, unblock contacts, and see the activity log and usage.

The permissions

Roles are made from this list:

Depots and approval limits

When you invite someone, you choose:

  • Depots: all depots, or only some. People only see work for their depots.
  • Approval limit: leave blank to use the role's limit. A work item over a person's limit shows "Over your limit of £5,000. Assign it to someone who can approve it."

Teams

Teams group people, optionally for one depot. Workflows can send work to a team, and team members see it in the My team view. Set up teams in Settings, Teams.

Changes that need a second admin

Some sensitive changes, such as a new MCS login, need a second admin to approve them. They wait in Settings, Approvals. Nobody can approve their own request.

The last admin in a company cannot be removed.
